Well-known landscape architecture firm is seeking a full-time Administrative Office Manager for its Downtown Los Angeles studio. We are a company of leading designers, planners, and professionals with studios in Southern and Northern California, Texas, New York, and Shanghai.

The qualities we look for include the ability to multi-task, find imaginative solutions, handle deadlines, meet and greet clients, work under pressure, and to assist with the marketing activities of the firm. Administrative Office Manager reports directly to the Managing Principal.

Job Responsibilities


Office responsibilities

Provide high quality administrative support services to professional staff.

Develop and implement office administrative procedures and processes to ensure smooth operations.

General oversight of studio operations, including studio cleanliness, minor maintenance upkeep, filing and organizing studio supplies and resources, keeping things in general good order.

Maintain conference room schedule and room preparations.

Handle outgoing and incoming mail and packages.

Manage and oversee maintenance and purchasing of office materials and equipment.

Select and manage vendors.

 

Bookkeeping, HR responsibilities

Act as a liaison/representative to corporate Admin, HR, IT, and Accounting.

Provide onboarding support to new employees.

Provide strong accounting/bookkeeping support for the office, including A/R, A/P.

 

Administrative responsibilities

Create documents from existing templates.

Supervise the maintenance of filing systems.

Supervise and assist answering calls on 15-line phone system.

Complete and oversee word processing requests and creation of contracts and proposals.

Assist the business development manager in coordinating and assembling all materials and information relating to marketing proposals and marketing materials.

Coordinate and organize company-wide or local events or meetings.

Provide creative solutions to meet the needs of both clients and employees.

 

Skills and Experience

Applicants should possess a proven ability to meet a multiple deadlines in a fast-paced, high energy office environment. We are looking for a proactive, resourceful self starter, with the ability to delegate and prioritize workload.

Experience and strong ability working with accounting aspects (A/R, A/P, monthly billing, etc.) is a MUST.

Efficient organizational skills and excellent attention to detail. Proficiency in PC-based computer software including Microsoft Office (Word, Excel, PowerPoint, Outlook, Microsoft Project).

Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign, and/or Acrobat) is required.

Interest in working in a creative environment.

3-4 years of experience in a similar administrative-type position.

Previous experience managing people preferred.

4 year college degree in Business Administration or Accounting (strongly preferred) with equivalent work experience.

 

Compensation

$45,000/year, competitive benefits package including health, dental, life, long-term disability, 401K, profit sharing, performance-based bonus. Job classification: Exempt.
